Position: Office Assistant

Location: Bedford Care Center – Monroe Hall

Job Summary:

Assists the Office Manager with daily Business Office functions according to Company Policies, sound business and accounting principles; assists with greeting visitors in a courteous, respectful and helpful manner in person and by phone; must communicate courteously and respectfully with Residents, Employees, visitors and others

Qualifications and Requirements:

High School Diploma and some prior business or accounting experience; some college preferred in business courses; must have basic computer skills in Microsoft Office, have excellent oral and written communications skills; must pass drug screens and have a satisfactory Criminal History Background Check

Duties and Responsibilities:

  • Assists with past-due accounts within established guidelines and maintains documentation
  • Assists with obtaining and submitting all required documentation for billing third party payers per Policy
  • Processes invoices for Accounts Payable, including verifying invoices, posting and transmitting to Corporate
  • Discusses all collections problems with Office Manager to accomplish solution within established time frames; takes appropriate action to prevent delinquency of accounts
  • Assists with Resident Trust Fund according to Federal / State Regulations and Company Policy
  • Ensures safeguards of Resident funds and valuables entrusted to the Business Office
  • As directed, promptly deposits all funds received according to Company Policy
  • Verifies information on incoming reports and resolves discrepancies per Company Policy; timely submits required / requested information and reports to management and vendors
  • Assists with ordering office supplies inventory
  • Promptly informs Office Manager when work is delayed and deadlines will be difficult to meet
  • Assists as assigned with the Payroll System, including time cards and timely transmission to corporate office
  • As directed, sends Form 317 to Medicaid Office for admissions and discharges
  • As requested, assists Office Manager with accounting / management of petty cash fund
  • Assists with Human Resources functions, Interviews, Hiring and Orientation; assists Employees with Benefits and Insurance information; creates and maintains Personnel Files
  • Answers incoming phone calls, greets families and other visitors
  • Maintains and updates Resident Census and assists with balancing the end-of-month closeout report
  • Assists Office Manager and Administrator with correspondence, memos, mail, etc.
  • As requested, assists with Admissions process and explanation of Financial Policies to family members
  • Assists with completion and maintenance of accurate Resident Census Reports
