Full Job Description
The Centralized Scheduler is responsible for all aspects of the scheduling processes for the respective outpatient program and psychological services. This position works as a part of an interdependent team and the individual must have a positive, helpful attitude with a cooperative approach to problem-solving and be able to multi-task. Standard hours for this position are 10:00 AM-6:30 PM Monday -Thursday and 8:00am ? 4:30pm on Fridays. There will be times that the Centralized Scheduler may be required to cover the shift of the agency?s receptionists which would be flexible between the hours of 8 AM and 8 PM.

The responsibilities include but not limited to:
Schedule, cancel and confirm client appointments.

Communicate schedule changes and adjustments with all parties. ? Contact families that no-show regarding reason for no-show and confirm continuation of therapy.

Receive and process all scheduling information via phone, fax and/or e-mail in a timely manner paying special attention to HIPAA privacy standards.

Maintain strong customer service focus in all interactions with internal and external contacts.

Manages all aspects of Outpatient Therapist(s) and Psychologists? schedules.

Performs additional outreach duties to fill clinicians? schedules by maintaining client caseloads for each clinician to quickly back fill open slots.

Sends out monthly requests for records.

Assume clerical responsibilities, including answering the phone, registering incoming clients and processing payments.

Serve as back up receptionist and operations assistant as needed and recommended by supervisor.

Perform other duties as assigned by supervisor.
