Job description: Division Assistant – Northern Division
Hattiesburg, MS
Summary:
This position is responsible for providing general administrative support to the management team and all levels of employees in the Northern Division. The successful candidate will support Hattiesburg, Laurel, and Meridian offices. The successful candidate will work in Hattiesburg primarily, but, on occasion, should be able to work in Laurel or Meridian as well.
Job Duties and Responsibilities:
- Work and coordinate with other Administrative Assistants
- Creating work plans and tasks in time reporting system for the division and processing time for covered employees
- Processing invoices and volumes of monthly procurement card expense statements in Oracle
- Creating and maintaining purchase requisitions in Maximo
- Facilitating job interviews
- Planning, organizing & coordinating meetings and special events
- Preparing presentations
- Creating and maintaining spreadsheets
- Handling confidential information
- Handling phone inquiries, written communication, & email support to managers
- Ordering and inventorying office and break room supplies.
- Manage calendars of managers – schedule meetings, respond to meeting requests, arrange meetings with others when schedules conflict
- Maintain electronic and paper files
- Coordinate training as needed
- Coordinate building maintenance utilizing the appropriate computer system
- Responsible for updating Emergency Action Plans
- Assist supervisors with step increases for line crew progression
- Other duties may develop as systems and operations change
Job Experience and Education:
- Additional certifications or continued education relevant to administrative support desired
- High School Degree required
- Previous administrative support experience preferred
Knowledge, Skills, & Abilities:
- Knowledge of Microsoft Office products (Word, Excel, PowerPoint, MS Teams) required
- Basic office management skills required
- Experience with expense reporting, invoicing system and time-keeping is highly desired
- Knowledge of Mississippi Power software applications, policies and procedures is a plus
- Ability to handle multiple tasks
- Ability to coordinate and support various employee meetings
- Basic knowledge of the utility business to aid in daily department activities
- Excellent interpersonal relations skills
- Filing and records management skills
- Excellent time management and organizational skills required
- Able to work independently with little supervision

Other Requirements:
- Office and storm restoration work is required
- Limited travel required in support of activities in all three Northern Division Headquarters – Hattiesburg, Laurel, and Meridian.
