Job description: Answers incoming telephone calls, takes messages, obtains information, provides information as appropriate regarding patient status, and routes calls or messages to appropriate person or department.

Greets patients and families. Provides directions and information to patients, families and visitors. Monitor and log visitor screen if needed.

Monitors physician orders and enters appropriate information in the computer or notify departments or nurses. Breaks down charts following patient dismissal and forwards to Medical Information. Clarifies results, messages, etc. with appropriate person. Accepts and accurately reports lab results to nurse in timely manner. Distributes reports and other information to nurse and doctors throughout the shift.

Maintains contact with ancillary departments to request services, obtain test results and assure results are available within established, accepted times. Notifies appropriate people of results. Schedules patients for services as requested by physician or nurses.

Picks up mail from mail room and distributes to appropriate staff with department. Transports lab specimens, delivers/picks up other requested items.

Answers call lights timely and relates requests to caregiver responsible for patient. May respond to patient requests as appropriate. Keeps caregivers informed of patient/family needs. Responds to bed alarms.

Maintains work environment in clean and orderly fashion. Inventories, orders and restocks supplies as necessary.

Maintains confidentiality of patient related issues. Supports the Patient Bill of Rights, Hospital Mission and Values, and Servicer Excellence Standards.

Attends and participates in unit related inservices, conferences and meetings. May assist in orientation of new staff.

Collaborates by working with others to achieve unit and organizational goals. Utilizes proper chain of command for resolution of difficult issues.

Monitors information systems printer routinely throughout the shift to ensure timely receipt and/or delivery of information.

Participates in unit staff meetings and CQI plan to improve organizational performance and achieve unit and organizational goals.

Conducts all activities in compliance with applicable laws, regulations, standards and hospital policies and procedures including Blood and Body Substance Precautions.

Orders and maintains office supplies.

Assembles and maintains patient record materials according to unit specific need.

Maintains unit specific log of dismissals and transfers.

Arranges transportation for patients as necessary.

Maintain assignment board with accurate information.

Lynxit – Keep staff updated – send out pages.

Prepare paperwork for discharges.

Filing.

Retrieve medical records.

Clean tele boxes, specimens to lab, pick up blood when needed.

Place IT and Plant Ops. Request in computer.

EDUCATION, EXPERIENCE AND TRAINING: High school diploma or equivalent. Medical terminology course or previous secretarial experience in health related field a plus.

PERFORMANCE REQUIREMENTS:

1. KNOWLEDGE, SKILLS, AND ABILITIES: Knowledge of all unit clerical duties, standard abbreviations and

medical technology. Understanding of hospital policies and procedures, and lines of authority for varied functions

performed on the unit. Ability to enter information in computer. Ability to transcribe physician/nursing orders.

Excellent interpersonal and communication skills required when interacting with physicians, co-workers and hospital

staff.

2. EQUIPMENT USED: Addressograph, computers, photocopier, facsimile machine, laser printer, telephone,

communication system, paper shredder.

3. MENTAL DEMAND: Reading, detailed work, confidentiality, problem solving, basic math, verbal

communication, written communication, customer contact, multiple concurrent tasks, and constant interruptions.

4. COMMUNICATIONS: Interacts with nursing staff, physicians, other employees, ambulance personnel,

patients/families, visitors, clergy on a day to day basis both in person and on the telephone. Perfornance

expectations of key customers for this position include timely and accurate information as well as courteous and

respectful communication.

PHYSICAL EFFORT: Sits most of the day. Occasional carrying of supplies. Writing, sitting, talking, hearing,

handling, and seeing. Fingering when entering information in computer.

Light work: Exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently.

6, WORKING CONDITIONS: May work in an environment that is emotionally and/or physically stressful due to

unpredictability of patient volume, great diversity of patient needs and increased risk of exposure to infectious

disease. Also possible exposure to fumes, noise, dust, heat and cold. Flexibility in shift and schedule

changes/ove11ime as needed.

II. Occasional exposure to blood/body fluids.

7. EDUCATION, EXPERIENCE, AND TRAINING: High school diploma or equivalent. Medical tenninology

course or secretarial experience preferred.

8, POPULATION BEING SERVED BY POSITION: Neonate, infant, adolescent, adult, geriatric adult.
